Call Center Hours of Operation:
Call Ruby has the ability to answer phones from 5 a.m. to 9 p.m. Pacific Time, Monday through Friday, which is 13 hours of coverage no matter where you are. Outside of these hours, Ruby Receptionists provides you with a dedicated, customized, voicemail box where your callers can leave you voicemail messages. You can also use weekend hours from 6 a.m. to 6 p.m.
Answering Service and Protocols:
Call Ruby can obviously answer the phones, as they answer with your custom greeting, but that’s not all. They can take detailed messages, route calls to appropriate department/person, answer FAQs, and even has the ability to make outbound telephone calls for you to confirm appointments with your customers and clients. Since there is a lot to keep track of, Call Ruby has a convenient client portal where you can track your minute usage, messages, outbound caller confirmations, and billing for each month! Call Ruby even has a smartphone app where the same things can be viewed.
Smartphone App:
Call Ruby’s smartphone application allows you to view your minute usage, but also allows you to set your availability on the fly. For example, you give pre-determined instructions to your “Ruby’s,” for each type of availability. If you are available, you might want all potential new customers patched to you. If you are “in a meeting,” you will want your virtual assistant to let the caller know that you are in a meeting and that you will call him/her back right away.
Message Taking:
Ruby Receptionists are trained to provide great experiences for your callers, which means that the receptionists will really take their time with your callers, and speak to them in a friendly and professional manner. This is a great way for your “Rubys” to get the best information from your callers. Once they have obtained the information needed, which is usually the caller’s name, phone number, and the reason for their call, your virtual assistant will send you a message instantly via email, SMS text, and you can even view all of your messages on the online portal and smartphone app. You can customize exactly what your virtual receptionist asks the caller!
Customized Voicemail and Hold Music:

Pricing:
Call Ruby only offers 3 pricing plans:
- 100 minutes for $259 per month with $2.59 per minute overage.
- 200 minutes for $489 per month with $2.45 per minute overage.
- 500 minutes for $989 per month with $1.98 per minute overage.
These prices are the highest we’ve seen of any answering service, but Ruby Receptionists is one of the most trusted names out there. With not a lot of options as far as pricing, budget could definitely become an issue when trying to partner with Ruby Receptionists, especially because their overages come at a steep price as well.
Each plan you choose starts with a 14 day free trial, and when your trial ends, a one time $95 setup fee is charged.
