Overview

Our direct integration with Smokeball automatically delivers all new client messages from Answering Legal into your Smokeball account. This empowers your team to quickly follow up on new leads, maintain accurate records, and simplify intake workflows.

What This Integration Does

  • Instantly syncs new client messages into Smokeball.
  • Populates contact details, intake responses, and call memos.
  • Automatically organizes messages in the Leads, Tasks, and Memos sections.

Getting Started

  1. Activate the Integration
    • You will receive a secure OAuth2 link from our Tech Team.
    • Have users log out of Smokeball on all devices, then click the link and log in with your Smokeball credentials, and approve access.
    • Once complete, the integration goes live and remains active for 12 months.
  2. Reauthorization
    • We’ll remind you before your 12-month connection expires.
    • Just click the revalidation link to continue uninterrupted syncing.

What You’ll Need

  • Smokeball login credentials.
  • Our custom activation link (sent by Tech Team).

What Gets Synced

  • Contact Info: Name, Phone Number, Email
  • Custom intake questions and message content
  • Appear in:
    • Contacts tab (for client details)
    • Leads tab (for intake responses)
    • Tasks and Memos (for full message context)

Where to Find Your Leads

  1. Log in to Smokeball.
  2. Navigate to the Leads tab.
  3. Select any Lead to view associated Tasks and Memos.
  4. You can also view client data under Contacts.

Troubleshooting

Issue: Lead not appearing in Smokeball Checklist:

  • Was it a New Client message? (Only these are synced)
  • Check both Tasks and Leads—if not in Leads, it may be in Tasks as a backup.
  • Confirm integration was activated.
  • Leads prefill “NY” as the state if you do not confirm the “state” field is filled in with your state’s two-letter abbreviation. Ex: if you are in New Jersey, you would fill in this field with “NJ”.

Still stuck?

  • Send us:
    • The Message ID(s) of missing leads
    • A screenshot of what you see in Smokeball
  • Our Tech Team will verify syncing and troubleshoot as needed.

Tips for Best Results

  • Make sure your firm’s state abbreviation is set in Smokeball (to avoid defaulting to NY).
  • Regularly review and update your intake form for relevance.
  • Use Smokeball’s internal tools to merge duplicate contacts if necessary.
